Transportation Approval Policy

Purpose:
To insure that all students, faculty, and staff have been approved to drive college owned transportation or rental vehicles.

The approval process has two components:
• Students, faculty, and staff must agree to have the College complete a motor vehicle background check, which will help determine eligibility to be insured.

• Students, faculty, and staff will need to complete a “Vehicle Orientation” prior to signing out a College vehicle. In addition, students will need to complete a road test with the large passenger van. Only staff and faculty are permitted to drive a College Bus and must complete a road test coordinated by the Campus Security.

The approval process outlined below takes a minimum of one week to complete.

New staff/faculty member process:
1. New staff/faculty members may obtain and complete a Driver Application while completing the initial employment paperwork. There are specific positions at the College where driving is an essential duty. Those staff members must complete the driver application as a condition of employment. This application will be reviewed and processed by the Office of Human Resources.

2. If a staff/faculty member has been determined eligible to drive after reviewing the motor vehicle background check, the Office of Human Resources will forward the name to the Security Department to schedule the vehicle orientation and road test (where applicable). If a staff/faculty member has been denied to drive College vehicles, the Office of Human Resources will notify the staff member. Those denied may appeal the decision to the Director of Human Resources who will review the appeal in consultation with the Vice President for Finance and Administration.

3. The Security Department will forward the names of those staff/faculty members who have completed the orientation and road test to the Office of Student Affairs. Once this step is complete, the staff/faculty member may then request and drive college owned or rented vehicles. A copy of the application and approval status will be kept on file in the Office of Student Affairs.

Currently employed staff, faculty and student process:
1. Current staff, faculty, and students may complete a Driver Application at the Office of Student Affairs. This application will be reviewed and processed by the Office of Human Resources.

2. If a staff, faculty, or student has been determined eligible to drive after reviewing the motor vehicle background check, the Office of Human Resources will forward the name to the Security Department to schedule the vehicle orientation and road test. If a staff/faculty member has been denied to drive College vehicles, the Office of Human Resources will notify the staff/faculty member and the reason(s) why. If a student has been denied to drive College vehicles, the Office of Human Resources will notify the student and the reason(s) why. Staff/faculty members may appeal the decision to the Director of Human Resources who will review the appeal in consultation with Vice President for Finance and Administration.

3. The Security Department will forward the names of those staff, faculty, and students who have completed the orientation and road test to the Office of Student Affairs. Once this step is complete, a staff, faculty, or student may now request and drive college or rental vehicles. A copy of the application and approval status will be kept on file in the Office of Student Affairs.

Timeframe and on-going approval process:

1. The Office of Student Affairs will maintain the “Approved Driver List”. This list will be updated annually and will run from October 1 to September 30.

2. Staff with essential driving duties will have their driving records checked annually.

3. Staff and students who drive incidentally to their positions will need to submit a “Request for Continued Approval: College Transportation on an annual basis.

Staff, faculty, and students who commit a motor vehicle violation during the course of the year must notify the Office of Human Resources.
